REGULATIONS FOR THE RESERVATION OF HOTEL ROOMS,
OTHER HOTEL SERVICES AND THE STAY OF GUESTS AT THE
ACCOMMODATION FACILITY WERANDA.APARTMENTS

INTRODUCTION

  1. These Regulations define the rules for the provision of Services by the Service
    Provider, the rights and obligations of the Service Provider and Service Recipients related to the provision of accommodation and additional services, the principles of protection of personal data of individuals using such services, as well as the principles of the exclusion of the Service Provider’s liability for the provision of Services.
  2. The Regulations have been made available by the Service Provider on the Service Provider’s website in a manner that allows the Service Recipient to obtain, reproduce and record the content of the Regulations using the ICT system used by the Service Recipient.

I. General Provisions

  1. Terms used in these Regulations mean:
    a. ICT system – a set of cooperating IT devices and software ensuring processing and storage, as well as sending and receiving data through telecommunications networks using the appropriate terminal equipment for a given network, as understood by telecommunications law.
    b. Distance contract – a contract concluded with a consumer within an organised distance contract system, without the simultaneous physical presence of the parties and with the exclusive use of one or more means of distance communication until the moment of concluding the contract.
    c. Electronic communication means – technical solutions, including ICT devices and compatible software, enabling individual communication at a distance using data transmission between ICT systems, particularly email.
    d. Service Provider – FIRMA IVA IWONA TOMAS, 73-108 Morzyczyn, ul.

    accommodation facility Weranda.Apartments, ul. Szczecińska 16, 73-108
    Morzyczyn, Poland, Stargard County, West Pomeranian Voivodeship.
    e. Service Recipient – an entity being a natural person, legal person or
    organisational unit without legal personality, using the services of the Service
    Provider. The Service Recipient may also be a Guest.
    f. Guest – a person using accommodation or additional services offered by
    Weranda.Apartments. The same person may also be a Service Recipient.
    g. Registration form – an online form available on the Service Provider’s website, used to register the Service Recipient in the system.
    h. Online reservation – reservation of hotel services made in real time via the
    booking engine (Internet Booking Engine) located on the website
    www.weranda.apartments.
    i. Authorization document – a document sent electronically to the Service
    Recipient by the Service Provider, specifying the detailed terms of the reservation, including length of stay, amount due for the stay and the deadline for paying the non-refundable prepayment (non-refundable deposit). Acceptance of the Authorization Document occurs when the Service Recipient makes the required payment, at which moment a contract is concluded between the Service Provider and the Service Recipient for the provision of the services defined in the Authorization Document.
  2. Before using any services provided by the Service Provider, including via the
    website and booking engine, the Service Recipient is obliged to read these
    Regulations and confirm acceptance of their terms.

II. Reservation Method

  1. To make an online reservation through the Service Provider’s ICT system, it is
    necessary to use commonly available internet browsers.
  2. Proper use of the services provided by the Service Provider through the ICT Service is only possible if the Service Recipient’s browser accepts cookies and disables pop-up blockers.
  3. The Service Provider provides services to the Service Recipient within the scope
    and under the conditions specified in these Regulations.
  4. The Service Recipient undertakes to comply with these Regulations.
  5. The Service Provider reserves the right to carry out maintenance work on the ICT system that may temporarily hinder or prevent the Service Recipients from using the Service.
  6. Reservations may be made via:
    a. the website of the Accommodation Facility and the booking engine available
    there,
    b. Booking.com reservation system,
    c. written order submitted electronically (email),
    d. telephone reservation,
    e. personal written confirmation at the Reception (direct walk-in reservation).

III. Reservation Process

  1. Online reservations are made by following the steps required by the automatic
    booking system, completing the registration form, and making the required
    payment.
  2. The Service Recipient is fully responsible for any consequences resulting from
    entering incorrect data in forms.
  3. Prices displayed in the system are per room per hotel night or per person per day and include VAT. They may also include other services described in the offer. If the offer includes breakfast or additional services, this information will be clearly displayed during the reservation. Unordered services (e.g., extra meals) must be paid by the Guest on-site.
  4. The currency of payment is Polish Złoty (PLN).
  5. In the case of payment by bank transfer, all related costs are borne by the Service Recipient.
  6. After making a reservation according to Section II.6(b–e), an Authorization
    Document will be sent to the address or email provided by the Service Recipient
    specifying the validity of the offer and the amount of the required non-refundable deposit.

IV. Price for Services

The price list of accommodation rooms and stay packages at Weranda.Apartments is
available at www.weranda.apartments and in the booking engine. Prices shown are valid for the date of the reservation and include breakfast or other services if specified in the offer description or Authorization Document.

V. Payments and Invoices

  1. Payments are processed directly during the online reservation. Payment is required for confirmation of the reservation.
  2. The required non-refundable deposit may be paid by bank transfer, online transfer,
    cash, or credit card (with written consent).
  3. The deposit must be paid by the deadline set in the Authorization Document.
  4. Credit card authorization is handled by an external payment processor.
  5. The date of payment is the date the funds are credited to the Weranda.Apartments bank account:

  6. The Service Provider issues VAT invoices in accordance with applicable tax laws.
  7. For walk-in reservations at Reception, the accommodation facility reserves the
    right to charge the non-refundable deposit to the credit card at check-in or require
    full cash payment in advance.

VI. Reservation Confirmation

  1. A reservation is considered completed once the online system issues a reservation
    confirmation number or the Guest receives written confirmation from Reception.
  2. A reservation is considered valid once the Service Recipient has paid the required nonrefundable deposit.
  3. The system automatically sends confirmation by email.
  4. Failure to pay the deposit by the date specified in the Authorization Document will be
    considered a cancellation and no contract for services is formed.

VII. Changes and Cancellations

  1. If the Guest cancels the reservation at any time before arrival, the deposit is nonrefundable and cannot be applied to another date.
  2. Cancellation requests must be submitted in writing by email.
  3. Early departure does not entitle the Guest to any refund of unused nights.

VIII. Terms of Contract Conclusion and Termination

  1. The terms for concluding and terminating accommodation service contracts are
    exhaustively defined in these Regulations. Termination is only possible by mutual written agreement.
  2. The Service Recipient does not have the right to withdraw from the accommodation service contract under Article 38(12) of the Polish Consumer Rights Act of May 30, 2014.

IX. Personal Data Protection

X. Complaints Procedure

  1. Complaints may be submitted for:
    a. Failure of the Service Provider to begin service at the agreed time,
    b. Non-performance, improper performance, or incorrect settlement of services.
  2. Complaints must be submitted within 14 days from the date on which the service was or should have been provided.
  3. Complaints must:
    a. be submitted to the Service Provider’s registered address or by email to
    info@weranda.apartments,
    b. specify the reason and the Guest’s demand,
    c. include the Service Recipient’s signature and current contact details.

XI. Transitional and Final Provisions

  1. In matters not regulated by these Regulations, provisions of the Civil Code, the Act
    on the Provision of Electronic Services, and other generally applicable laws apply.
  2. The Service Provider reserves the right to amend the Regulations; however,
    reservations made before the amendment are governed by the version in effect at
    the time of booking.
  3. Date of publication of the updated regulations: 01.12.2025.
